Vineyard Stays Assistant
Location: In Person at ONX Estate Vineyard – 1200 Paseo Excelsus, Templeton
Job: Part-time: Sunday, Monday, Tuesday, and Wednesday – 10:00 AM to 5:30 PM
The Vineyard Stays Assistant at ONX Wines oversees and executes all aspects of guest experiences at ONX Wines’ vacation homes. These properties include but are not limited to, Briarwood Cottage and Apartment, Clark House and Apartment, Kiler Canyon Ranch House and Studio Apartment, and a small hobby farm next to Briarwood Cottage.
The Vineyard Stays Assistant works alongside the Vineyard Stays Manager to manage all facets of guest stays at these locations, from the initial reservation inquiry to check-out and follow-up with guests. Additionally, the Assistant serves as the primary contact for the Concierge program when the Vineyard Stays Manager is unavailable, providing assistance to Vineyard Stays guests and wine club members during their visits to Paso Robles.
Responsibilities include making reservations at local restaurants, wineries, and attractions. This role involves close collaboration with the Vineyard Stays Manager. It may require cross-training in other departments to assist with vineyard tours, vineyard experiences, and private tasting events for guests staying at the rentals.
Duties & Responsibilities:
- Oversees daily operations by following a checklist of key tasks, assessing property availability, and making decisions that support business objectives.
- Addresses customer concerns or requests by carefully examining the situation and identifying practical solutions.
- Performs additional tasks as directed by the Vineyard Stays Manager and should possess a high level of detail and awareness of all properties and guests.
- Quickly responds to guest requests, phone calls, emails, and voicemails.
- Ensures precise and detailed communication with the Vineyard Stays Manager, including updates on business volume, special guests, tasks, and upcoming events.
- Stays well-informed about rental properties, the winery, vineyards, and the local area, including ongoing activities within the winery and surrounding region.
- Communicates quickly, efficiently, and friendly during check-in and check-out while remaining available to address guest inquiries.
- Addresses customer inquiries or requests courteously and effectively, ensuring a consistently high standard of customer service.
- Encourages a performance-driven work environment within the department while collaborating effectively with other departments.
- Engages in regular training to improve skills and apply the knowledge acquired in daily operations.
- Efficiently uses the reservation platform to send quotes, book reservations, send confirmations, process payments, and manage refunds.
- Has extensive knowledge of fire safety and evacuation protocols to ensure guest safety across all properties.
Required Experience, Education, & Skills:
- Must be self-motivated and comfortable working alone.
- Possess excellent customer focus, but recognize that this role typically requires minimal time in the office.
- Capable of lifting up to 60 lbs, bending, stooping, squatting, and standing for extended periods. Also comfortable with hands-on work.
- Have a passion for farm animals and the ability to care for and feed them as needed.
- Comfortable and capable of working outdoors in all weather, performing tasks such as maintaining outdoor furniture, covering it, light gardening, caring for plants, and tending to window boxes.
- Be available to assist guests after hours when they are on the property and the Vineyard Stays Manager is off or on vacation.
- Demonstrate strong written and verbal communication skills, along with practical problem-solving abilities.
- Previous experience in hospitality, wine, or office management is advantageous.
- Skilled in Microsoft Office (Word and Excel), Google Docs, Sheets, and filing systems; able to quickly learn new software and troubleshoot common technical issues.
- A high school diploma or GED is required.
- The ability to complete complex tasks quickly and efficiently.
- Highly motivated with a strong attention to detail.
- Ability to work a flexible schedule, including holidays and weekends.
